Who this policy covers
This policy applies to personal information we collect about people who visit our website, contact us, subscribe to our email, request support, attend our programs and events, or work with us as clients, partners, suppliers or job applicants.
What we collect
The information we collect depends on how you deal with us. It may include:
- contact details, such as your name, email address, phone number, organisation and role
- what you tell us in forms, emails, meetings and any files you send us
- information about our work together, such as project notes, correspondence and billing details
- your email preferences, including whether you have subscribed or unsubscribed
- information about how you use our website, such as your IP address, browser type and the pages you visit
We don’t ask for sensitive information, such as health information or details of your political or religious beliefs. If you choose to send it to us, we will only use it for the reason you gave it to us.
You can contact us without giving your name, but we may not be able to help you fully if you do.
How we collect it
We usually collect personal information directly from you: when you fill in a form on our website, email or call us, meet with us, or attend one of our programs or events. We may also receive information from your organisation when we work with them, and we may collect business contact details from public sources such as company websites and LinkedIn. Some information about your use of our website is collected automatically through cookies (see below).
How we use it
We use personal information to:
- respond to your enquiries and support requests
- deliver, manage and bill for our services
- keep track of our relationships with clients and contacts in our customer relationship management (CRM) system
- send you our monthly email, if you have subscribed
- improve our website and services
- protect our website and forms from spam and misuse
- meet our legal obligations
We do not sell or rent personal information.
Our monthly email
We send our monthly email to people who have subscribed, and to contacts we have an existing business relationship with. Every email includes an unsubscribe link. You can also unsubscribe by emailing info@komosion.com.
Cookies, analytics and spam protection
Our website uses cookies, which are small files stored by your browser. We use Google Analytics to understand how people use the website. It gives us aggregated information, such as which pages are popular, and does not tell us who you are.
Our forms use Google reCAPTCHA to block spam. reCAPTCHA collects information about your device and how you use the page, and sends it to Google. Google’s Privacy Policy and Terms of Service apply.
You can set your browser to block or delete cookies. Some parts of the website may not work properly if you do.
Who we share it with
We share personal information only where we need to. That may include:
- our team in Australia and Vietnam
- service providers who help us run our business, including our website host, Pipedrive (our CRM and email platform), Google (website analytics and spam protection) and our email and cloud providers
- our professional advisers, such as accountants and lawyers
- government bodies or others where the law requires or allows it
We require our service providers to protect personal information and use it only to provide their services to us.
Information held outside Australia
Part of our team works from our office in Ho Chi Minh City, Vietnam, and may access personal information to do their work. Some of our service providers store information on servers outside Australia, including in the United States and the European Union. We take reasonable steps to make sure anyone outside Australia who handles personal information for us treats it in line with the Australian Privacy Principles.
AI and automated decisions
We are an AI consultancy and we use AI tools in our own work, for example to help draft documents or summarise information. When we use AI tools with personal information, a person on our team reviews the result and makes the decisions.
We do not use computer programs to make decisions about you that could significantly affect your rights or interests. If that changes, we will update this policy to explain the kinds of decisions involved and the information used.
Security and how long we keep it
We take reasonable steps to protect personal information from misuse, loss and unauthorised access, change or disclosure. Access is limited to people who need it for their work. No system is completely secure, so we can’t guarantee the security of information sent to us over the internet.
We keep personal information only as long as we need it for the purposes in this policy, or as the law requires. After that, we delete or de-identify it. If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner, as the law requires.
Accessing or correcting your information
You can ask to see the personal information we hold about you, or ask us to correct it, by emailing info@komosion.com. We won’t charge you to make a request, and we will respond within 30 days. If we can’t give you access or make a correction, we will tell you why, unless the law prevents us from doing so.
Complaints
If you are concerned about how we have handled your personal information, please email us at info@komosion.com. We will look into it and respond within 30 days.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner through oaic.gov.au.
